Terms and Conditions – Conwy Tours
1. General
Conwy Tours provides guided walking tours and step‑on coach guiding in and around Conwy and North Wales. These terms are based on the standard conditions used by Wales Best Guides and Britain’s Best Guides and apply to all bookings.
2. Bookings and confirmation
All tours must be booked in advance. A booking is only confirmed when you receive written confirmation from us by email. By confirming a booking, you accept these terms and conditions on behalf of your group or organisation.
3. Payment terms
Our standard payment terms are:
• Credit: payment due within 30 days after the tour date
• Pre‑payment: payment due 15 days before the tour date
The agreed option will be stated on your quotation or booking confirmation. Payment is by bank transfer or other methods agreed in advance. Any bank or transfer charges are the responsibility of the client.
4. Cancellation by the client
If you need to cancel a confirmed booking, the following charges apply:
• 28 days or more before the tour date: no fee
• 10 to 27 days before the tour date: 50% of the guiding fee
• Less than 2 days before the tour date, or non‑arrival: 100% of the guiding fee
We recommend that you have suitable insurance in place to cover any cancellation charges.
5. Cancellations and changes by Conwy Tours
In the unlikely event that we have to cancel a tour (for example due to serious illness of the guide or other exceptional circumstances), we will, where possible, offer an alternative guide or date. If this is not suitable, any fees already paid to us will be refunded in full. We are not liable for any additional costs incurred by the client, such as transport, accommodation or other services booked separately.
6. Group sizes
Maximum group size depends on the venue and style of tour and will be agreed at the time of booking. As a guideline:
• Conwy Castle: usually up to around 20 people per guide
• Town walking tours: normally up to 12 people per guide, or up to 25 if a quiet box or whisper system is provided by the operator
If actual numbers exceed the agreed group size, we may need to provide additional guides and charge additional fees. Please talk to us
7. Client responsibilities
The group organiser is responsible for:
• Ensuring the group arrives on time at the agreed meeting point
• The conduct of group members during the tour
• Informing us in advance of any changes to group size
• Providing accurate information about mobility issues and any special needs
• Complying with any instructions given by the guide in the interests of safety and venue regulations
8. Health, safety and behaviour
Walking tours involve being outdoors, standing for periods of time, and using pavements, paths, slopes and steps that may be uneven or slippery. It is each participant’s responsibility to wear suitable clothing and footwear and to take reasonable care of their own safety.
The guide reserves the right to alter the route, adapt the content or terminate the tour if conditions are unsafe, if a venue becomes unavailable at short notice, or if behaviour by any participant is likely to cause danger, damage or serious disruption. In such cases, no refund will be due.
9. Venues, admissions and third‑party services
Our guiding fee covers guiding services only, unless agreed otherwise in writing. Any admission charges, venue fees, transport, parking, meals, refreshments or other services are arranged and paid for by the client. Where we help you make such arrangements, we do so as a courtesy and accept no responsibility for the provision of these third‑party services.
10. Accessibility and special requirements
Many of our tours involve gentle walking and some slopes, cobbles or steps. Please tell us in advance if any members of your group have limited mobility, health conditions or other specific needs so that we can advise on suitable routes or adaptations. We will always try to accommodate reasonable requests, but cannot guarantee that all routes or venues will be accessible to all participants.
11. Force majeure
We cannot accept liability or pay compensation for any failure to provide the agreed services, or for changes or cancellations, caused by events beyond our reasonable control. These may include, but are not limited to, severe weather, natural disasters, industrial action, disruption to public transport, closure of venues, security incidents, or instructions from public authorities.
12. Insurance and liability
We carry appropriate professional insurance in line with standard guiding practice. Clients and participants are strongly advised to have their own travel and personal accident insurance. While every reasonable care is taken, Conwy Tours cannot accept liability for loss, damage or injury to persons or property, except where this arises directly from our negligence.
13. Data protection
We use the personal information you provide (such as names and contact details) only for handling your enquiry, managing your booking and, if you have agreed, for keeping in touch about future tours. We do not sell or share your personal data with third parties for marketing purposes.
14. Governing law
These terms and conditions are governed by the laws of England and Wales. Any disputes arising from bookings with Conwy Tours will be subject to the exclusive jurisdiction of the courts of England and Wales.
